HotelByte Supplier Credential Security Whitepaper

Executive Summary#

Credential security is a core part of the HotelByte platform trust model. Hotel distribution connects customers, suppliers, inventory, pricing, orders, and operational support systems. Supplier credentials represent access to critical external systems, so HotelByte treats them as highly sensitive assets and protects them through layered controls built around least privilege, minimal exposure, runtime isolation, traceable auditability, and business continuity.
This whitepaper explains HotelByte's security philosophy, design principles, and implemented engineering controls for supplier credentials. It is intended for customers, suppliers, partners, and security reviewers who need to understand how HotelByte reduces credential exposure risk across management, display, audit, log query, and business execution paths.

Scope#

This document covers supplier credential management and usage scenarios in the HotelByte platform, including:
Supplier credential creation, viewing, updating, and deletion.
Credential display in management APIs and management interfaces.
Credential usage in supplier runtime execution paths.
Credential protection in audit records, log queries, session views, and support workflows.
Sensitive field identification and display controls driven by supplier credential schemas.

Security Objectives#

HotelByte's supplier credential security objectives are:

Credentials are used only in necessary business execution paths.

Non-runtime surfaces do not display complete secrets by default.
3.
Management surfaces, log queries, audit records, and support tools use masked data or reference data by default.
4.
Credential-related changes are traceable.
5.
Security controls preserve business continuity across search, pricing, booking, and cancellation flows.
6.
New supplier onboarding includes sensitive field identification, display controls, and regression coverage as part of delivery.

Design Principles#

Minimal Exposure#

Credential security is not only about where a secret is stored. It also depends on whether the secret is unnecessarily displayed during daily operations. HotelByte reduces secret exposure in management pages, API responses, audit records, log queries, and support workflows. When the platform needs to identify a credential, it prioritizes business metadata such as supplier, account alias, environment, status, and credential ID.

Least Privilege#

Credential management capabilities should be available only to roles with a clear operational responsibility. Runtime services use the credential required for the relevant supplier call. Management and support tooling should avoid access to complete secrets when masked or reference information is sufficient.

Management Plane and Runtime Plane Separation#

HotelByte treats management display and runtime supplier execution as separate security boundaries. Runtime flows require credentials to authenticate with suppliers. Management display, log query, audit, and entity configuration flows require only identifying or masked information. Separating these paths reduces unnecessary exposure while preserving business continuity.

Traceability#

Critical credential operations, including create, update, and delete, need audit trails. Audit records support security governance, issue investigation, and customer support, but they should not become additional plaintext secret stores.

Business Continuity#

Hotel supply chains require stable execution. HotelByte embeds credential security controls into core business workflows so that access credentials are protected while search, pricing, booking, and cancellation paths continue to operate reliably.

Layered Security Architecture#

Layer 1: Input and Schema Controls#

HotelByte uses credential schemas to describe supplier authentication structures and identify sensitive fields by field semantics. Common sensitive fields include password, secret, apiKey, token, licenseKey, securityKey, and authorization.
Schema controls are used to:
Drive management input types.
Mark sensitive fields.
Support masked display.
Provide a consistent security baseline for new supplier onboarding.

Layer 2: Default Masking on Management Surfaces#

Supplier credentials are masked by default in management interfaces and management APIs. Sensitive fields are returned as mask placeholders, reducing the risk that administrators encounter complete secrets during routine viewing, screenshots, forwarding, or support collaboration.
When administrators edit non-sensitive configuration, the system supports preserving existing secrets so masked placeholders do not accidentally overwrite real credentials.

Layer 3: Runtime Isolation#

Supplier runtime flows need credentials to authenticate supplier API calls. HotelByte restricts complete credential usage to the supplier execution paths that need it and avoids spreading complete credentials into management display, entity configuration, log query, or audit display contexts.

Layer 4: Audit and Observability Safety#

Credential audit records retain actor, target object, action type, timestamp, and contextual information. Audit payloads use masked copies or safe metadata so they do not become additional plaintext secret locations.
Log query results, session views, and support investigation outputs perform sensitive information cleanup to reduce exposure during troubleshooting and collaboration.

Layer 5: Reference-Based Configuration and Copy Reduction#

Where complete secrets are not required, HotelByte stores credential reference information instead of duplicating full credential content. This reduces unnecessary internal copies of secrets and keeps credential ownership boundaries clearer.

Credential Lifecycle Protection#

Create#

When a credential is created, the system validates field structure and supplier schema. Management responses return masked credential information so the create response does not expose complete secrets unnecessarily.

View#

When a credential is viewed, sensitive fields are masked by default. The platform prioritizes credential ID, name, supplier, status, environment, and other identifying metadata.

Update#

During updates, mask placeholders mean "keep the existing secret." This prevents a common failure mode where an administrator changes only a non-sensitive field but accidentally writes a masked placeholder back as the real credential value.

Use#

Complete credentials are used only in supplier runtime execution paths where they are required for external supplier authentication.

Delete#

When a credential is deleted, the system keeps an audit trail of the operation. Audit records do not store plaintext secrets.

Whether business entity configuration uses credential references instead of copying full credential content.

Periodically review users and roles that can manage credentials.
Avoid sharing plaintext secrets through email, chat, screenshots, or documents.
Rotate credentials after personnel changes, suspected exposure, permission mistakes, or supplier-side security incidents.
Submit or update credentials only through agreed secure channels.
